Information we use

Enquiries and listing amendments
Your name, contact details, the organisation you represent and the content of messages you send by email, telephone or post.
Professional-directory information
Business names, professional names and roles, public business addresses, telephone numbers, email addresses, websites, service areas, professional memberships, social profiles and links to independent review services. Some of this is personal information where it identifies a sole trader or named business contact.
Technical and security information
Internet Protocol address, browser and device information, request time, referring page and security events recorded by our hosting and infrastructure providers when the site is requested.
External-content choices
If you choose to load a supported social-media feed, your browser stores that provider choice locally so the site can respect it.
Optional analytics information
If you consent to Google Analytics, we receive information about pages viewed, interactions, approximate location, referring source, session identifiers, and broad browser and device details. We do not use Google Analytics to identify you by name or for advertising personalisation.

We do not use this website to make decisions about people solely by automated means, and we do not sell personal information.

Information in the Planning Professionals directory

Directory information comes from publicly available sources, including the business's own website and social profiles, professional-body directories such as CIAT, RTPI and RIBA, public business listings and review-profile links. We identify the source on a listing where it is useful and available.

The directory is intended to help people find businesses that may be able to assist with planning. A listing is not a recommendation, endorsement or guarantee. We ask users to verify contact details, professional status, insurance, availability and suitability directly.

If a listing identifies you, you can ask us to correct inaccurate information, replace business contact details, object to the use of your personal information or request removal. Use our listing-amendment contact route.

Who receives information

We may share or make information available to:

  • hosting, content-delivery, security and technical service providers that operate the website for us;
  • Google Analytics, but only after you consent, to provide website measurement services for Copla Ltd;
  • professional-directory visitors, because listing information is published openly;
  • advisers, regulators, courts or law-enforcement bodies where this is necessary and lawful; and
  • UKPlanningMaps.com when you deliberately follow a link to ask about or purchase a planning map.

Maps, business media and social content

Contextual maps, including authority maps and the private planning-application prototype, use OpenStreetMap data. Authority-map tiles are requested when a map enters view. The private prototype requests map tiles when that page opens. The OpenStreetMap service may receive technical request information such as your IP address, browser or device type, operating system, referring website, requested tiles, and the date and time. Business logos and portfolio images may remain hosted by the relevant business or its content-delivery provider, so requesting that page may disclose connection information such as your IP address and browser details to that host.

Social-media feeds are not loaded automatically. If you choose to load a supported X or Facebook feed, your browser connects directly to that provider. The provider may receive your IP address, browser and device information, the page address and cookie or account information under its own privacy terms. LinkedIn and Instagram remain ordinary outbound links unless a supported embed is introduced with an equivalent choice.

Google Analytics

Google Analytics is off by default. If you accept it, your browser connects to Google and sends the optional analytics information described above. Google may process that information for us and may also use it as described in the Google privacy policy. We disable Google signals and advertising personalisation in our tag.

International processing

Google and some technical or external-content providers may process information outside the UK. Where we appoint a provider to process personal information for us, we use an applicable UK adequacy regulation or appropriate contractual safeguards where required. External websites you choose to open act under their own privacy notices.

How long we keep information

  • We normally keep ordinary enquiry correspondence for up to 24 months after the last contact, unless it relates to a transaction, complaint or legal issue that requires a longer period.
  • Directory information is kept while the listing remains relevant and the business appears to operate. We correct or remove personal information when it is no longer necessary or after a valid request.
  • Technical and security records are retained only for the period reasonably needed for security, fault investigation and legal duties, according to the relevant provider's retention schedule.
  • External-content preferences remain in your browser until you revoke them, clear site data or the preference expires after a policy change.
  • Google Analytics cookies are configured to last for up to 12 months. User- and event-level analytics data is kept for no longer than 14 months; aggregated reports may remain available for longer.

Your data-protection rights

Depending on the circumstances, you may have the right to ask for access, correction, erasure, restriction, portability, or to object to our use of your information. Where processing relies on consent, you can withdraw that consent at any time without affecting earlier lawful processing.

We may need to confirm your identity before acting on a request. There is normally no charge, and we normally respond within one month. Visit the Information Commissioner's guidance on access rights for more information.

Our data-protection complaints process

You can make a data-protection complaint by email, telephone or post using the details below. Please explain what happened, which information or listing is involved and what outcome you are seeking. You do not have to use a particular form or legal wording.

We will acknowledge a complaint within 30 days. We will investigate without undue delay, keep you informed where an investigation takes time, and explain the outcome and any action taken. We may ask for information needed to confirm identity or understand the concern, but will not ask for more than is reasonably necessary.
