Check the digital sheet before printing

Download the original PDF rather than printing a browser thumbnail or screenshot. Confirm its page dimensions, orientation and stated scale, such as 1:1,250 at A4 or 1:500 at A3. Check that the north point, scale bar, road names, boundary and licence information have not been cropped.

Use controlled print settings

Load the paper size named on the plan and select Actual size or 100%. Turn off Fit, Shrink oversized pages, Scale to fit and automatic borderless enlargement. Centre the page without changing its dimensions and print one test copy before producing a set.

• Match portrait or landscape orientation
• Select the intended paper tray
• Keep page scaling at 100%
• Do not compensate by stretching the source PDF

Verify the result and handle reductions honestly

Measure a known interval on the scale bar with a ruler. If it is wrong, revisit the PDF page size, paper selection and print settings. If an A3 drawing must be issued on A4, create a deliberate reduced issue that states the original and reduced scale rather than retaining a false scale label.

Electronic submission does not remove the need for scale metadata. An LPA may measure the PDF digitally, so preserve the page dimensions and include a scale bar and written dimensions. Drawing conventions and portal instructions vary by UK nation and authority, so follow the receiving service's current requirements.

Diagnose a failed scale-bar test

If the printed bar is wrong, compare the PDF page dimensions with the intended sheet before changing the drawing. Then check paper selection, orientation and print percentage. A uniform error usually points to resizing; different errors in different directions suggest that the file or image has been distorted.

• Return to the original downloaded PDF
• Try a reliable PDF reader rather than a browser preview
• Confirm no printer-driver enlargement is active
• Print one page at a professional service if the printer cannot handle the sheet
• Ask the drawing issuer to correct the source when the embedded bar itself is wrong

Keep the PDF page size and scale intact

Do not flatten the plan into an image with an undefined page size or paste it into a word-processing document for upload. Retain the issued PDF, its page geometry and readable vector linework where available. If a reduced copy is created for convenience, label it clearly and keep the measurable original in the submission set where the authority permits.

A graphical scale bar helps the reviewer recognise uniform resizing, but it cannot repair a plan that was stretched or based on inaccurate geometry.
